Base pay range $85,000.00/yr - $130,000.00/yr Legal Project Manager Role Overview The Legal Project Manager serves as the primary point person overseeing a high-volume docket of complex litigation cases, ensuring seamless execution from inception to resolution. This role demands exceptional organizational skills, proficiency in legal and project management tools, and the ability to lead cross-functional teams involving attorneys and other stakeholders. The Legal Project Manager will report directly to senior management and will maintain a comprehensive understanding of all case developments while ensuring alignment with strategic objectives. The manager is responsible for executing case plans in strict accordance with senior management's direction, while exercising independent judgment to resolve issues, optimize processes, and maintain case momentum. This includes coordinating with all stakeholders in the legal ecosystem, allocating resources efficiently, ensuring deadline compliance, and developing data-driven workflows and dashboards to provide real-time visibility into case status and issues. This position can be performed on-site or remotely. Key Responsibilities Case Management & Oversight Serve as the central point person for all litigation cases, managing them from inception to resolution and ensuring seamless process execution in accordance with case objectives Maintain a thorough understanding of case developments and provide detailed, regular status reports to stakeholders Proactively identify and resolve case-related issues, escalating complex problems to senior supervising lawyers when necessary, while demonstrating independent problem-solving capabilities Track case progress and deliver concise updates to clients via dashboards and reports Maintain and optimize CRM and project management tools for real-time case tracking and reporting Coordinate and enforce case timelines, deadlines, and deliverables using project management software Ensure compliance with court filing deadlines and procedural requirements Support motion preparation and ensure pleadings are prepared by necessary personnel on time according to defined deadlines When necessary, liaise with court personnel, co-counsel and legal teams across jurisdictions to align strategies and timelines Cross-Functional Team Leadership Lead cross-functional teams, including attorneys and support staff, ensuring alignment with senior management's direction Allocate resources efficiently across competing case priorities, optimizing team capacity and ensuring adherence to deadlines Collaborate with technical teams to standardize processes and implement automation tools to enhance efficiency Develop and maintain case-related templates and workflows to streamline operations Budgeting, Cost Control & Financial Coordination Track litigation and marketing expenses, manage cost recovery, and coordinate with accounting department for case allocation Identify opportunities to improve case profitability through efficient resource allocation and process optimization Data-Driven Workflows and Dashboards Design and implement data-driven project management workflows to streamline case processes, ensuring alignment with senior management's strategic objectives Maintain interactive dashboards to provide real-time visibility into case status, milestones, deadlines, and resource allocation for all stakeholders Develop automated alerts and notifications for potential issues (e.g., missed deadlines, budget overruns, or resource bottlenecks), enabling proactive resolution Ensure dashboards are accessible to senior management, attorneys, and other stakeholders, with role-based access controls to protect sensitive information Regularly update workflows and dashboards based on feedback from senior management and evolving case needs, incorporating data analytics to highlight trends, risks, and opportunities Train cross-functional teams on dashboard usage and workflow processes to enhance adoption and ensure consistent data input for accurate reporting Notice, Administration & Compliance Oversee client communications via various channels, ensuring timely delivery and accurate tracking Implement settlement terms and claims resolution workflows, coordinating with third-party administrators as needed Qualifications Required Bachelor's degree in business, legal studies, or a related field (JD or paralegal certification strongly preferred) 5+ years of experience in project management, with at least 3 years in a legal operations or law firm environment Deep understanding of legal processes, terminology, and the case lifecycle, including court filings and litigation procedures Advanced proficiency with project management tools and legal CRM platforms Strong data analysis skills, with proficiency in Excel and reporting tools Exceptional organizational, written, and verbal communication skills, with the ability to manage stakeholder expectations and report effectively to senior lawyers Proven ability to multitask, prioritize, meet deadlines, and independently resolve issues in a high-pressure, fast-paced environment Preferred Certification in Legal Project Management from the International Institute of Legal Project Management (IILPM) or equivalent PMP (Project Management Professional) or CAPM (Certified Associate in Project Management) certification from PMI Experience with document automation tools and intake pipeline workflows Prior experience managing cross-functional teams in a legal or professional services setting Additional Requirements The selected candidate will be required to complete online project management certification within the first 6 months of employment Candidates with experience at process-oriented firms are highly desirable To Apply: Candidates should send a resume and cover in PDF format to jobs@zlk.com.
